Upload your AIB PDF bank statement to the converter, which extracts transaction date, description, debit, credit, and balance from each line. Download the .qbo file and import it into QuickBooks Desktop or QuickBooks Online using Web Connect, where QuickBooks will prompt you to match the file to your AIB account and add the transactions to your register.
The .qbo format is QuickBooks Web Connect, the direct-import standard for bringing bank transactions into QuickBooks without CSV mapping or manual entry. When you open the .qbo file, QuickBooks launches automatically, checks the account number against your chart of accounts, and drops every transaction into the correct register with date, payee, and amount intact. For Irish businesses and bookkeepers managing AIB current accounts or savings accounts in QuickBooks, this eliminates the weekly copy-paste routine from PDF statements.
How do I convert an AIB statement to QuickBooks?
- Log in to AIB Internet Banking and download your statement as PDF for the period you need (one month, one quarter, or a custom date range).
- Go to BankStmtConverter.com and upload the AIB PDF file.
- The converter parses each transaction row, extracting transaction date, description (the memo field AIB prints on statements), debit amount, credit amount, and running balance in EUR.
- Click download and save the .qbo file to your desktop.
- Open the .qbo file: QuickBooks detects it and opens the Web Connect import wizard.
- Select the AIB bank account in your QuickBooks chart of accounts that matches the statement, then confirm the import.
- Review the transactions in your QuickBooks register, match any duplicates if you already entered some manually, and categorize expenses to complete reconciliation.
What data gets extracted from AIB statements?
AIB current-account and savings-account statements in Ireland display transaction date (the date the transaction posted, in DD/MM/YYYY format), a description field (merchant name, direct debit reference, or transfer note), debit column (money out), credit column (money in), and a running balance in euro after each transaction. The converter captures all five fields from every row across every page of the PDF.
The .qbo file packages this data in the OFX financial-exchange structure that QuickBooks expects: DTPOSTED for the transaction date, TRNAMT for the signed amount (negative for debits, positive for credits), MEMO for the description, and BALAMT for the closing balance. QuickBooks reads the account number embedded in the file and matches it to your register, so you do not manually map columns as you would with CSV.
Using the .qbo file in QuickBooks
QuickBooks Desktop (Pro, Premier, Enterprise) and QuickBooks Online both accept .qbo Web Connect files. Double-click the .qbo file on Windows or Mac; QuickBooks opens and displays the import screen with the bank name (AIB), account number (masked), and transaction count. Click the dropdown to select which QuickBooks account receives the import—choose your AIB current account or the savings account that matches the statement. QuickBooks scans for duplicate transactions by date and amount; if you already entered a lodgement or payment manually, QuickBooks flags it and asks whether to skip or add anyway. Always review flagged duplicates before confirming.
After import, the transactions appear in your register with the description in the memo field. QuickBooks Online shows them in the Banking tab under the AIB account, where you categorize each line to an expense account, income account, or customer/supplier. QuickBooks Desktop adds them directly to the account register. In both versions, the final step is reconciliation: open the reconcile window, enter the statement ending date and closing balance from the AIB PDF, and QuickBooks ticks off matched transactions. If the difference is zero, you are reconciled.
Handling direct debits and standing orders
Irish businesses often run multiple direct debits (utilities, Revenue, insurance) and standing orders through AIB accounts. The description field on AIB statements usually prints the direct-debit originator name or the standing-order reference you set up. When QuickBooks imports the .qbo file, these descriptions populate the memo field in your register. After the first import, set up bank rules in QuickBooks Online (or memorized transactions in Desktop) so that future imports automatically categorize recurring payments: for example, auto-assign
Common questions
Frequently Asked Questions
Does the converter work with scanned or photographed AIB statements?+
Yes. If your AIB statement is a scanned image or a photograph saved as PDF, the converter uses OCR to read the transaction table. It cross-checks extracted totals against the opening and closing balance printed on the statement to confirm accuracy.
How does the converter handle multi-page AIB statements?+
The converter processes every page of the PDF in sequence, extracting transactions from each page and combining them into a single .qbo file. A three-month AIB statement spanning six pages will yield one .qbo file with all transactions in chronological order.
What happens to my AIB statement after conversion?+
The PDF and the generated .qbo file are deleted from the server immediately after you download the .qbo file. No transaction data is stored, shared, or used for any other purpose.
Will QuickBooks reconcile correctly with the AIB closing balance?+
Yes. The .qbo file includes the closing balance from your AIB statement. When you reconcile in QuickBooks, enter the same ending date and balance from the PDF; if every transaction imported, the difference will be zero and QuickBooks will mark the account reconciled.
Can I import multiple AIB statements into QuickBooks at once?+
QuickBooks imports one .qbo file at a time. Convert each statement period separately, then import each .qbo file in date order. QuickBooks will merge them into the same register and flag any overlapping transactions as potential duplicates.
