Upload your State Bank of India statement PDF, and the converter extracts every transaction—posting date, value date, narration, debit, credit, and running balance—into an Excel file with each field in its own column. Download the .xlsx file and open it in Excel, Google Sheets, or LibreOffice Calc for reconciliation, pivot tables, and financial analysis.

SBI statements from Internet Banking or passbook printouts work equally well. The tool handles multi-page statements and image-based PDFs where the bank printed the statement and you scanned it later.

How do I convert an SBI statement to Excel?

  1. Download your State Bank of India statement as PDF from OnlineSBI or collect the printed version from your branch.
  2. Go to BankStmtConverter.com and upload the PDF—no registration required.
  3. The converter reads the statement structure, extracting transaction rows and running balance totals.
  4. Download the Excel file, which opens with transactions in a table: one row per transaction, columns for date, narration, debit, credit, and balance.

The entire process takes under a minute for a 30-page statement. You keep the original PDF and gain a structured dataset.

What transaction data gets extracted from SBI statements?

State Bank of India statements list transactions with these fields, all captured in the Excel output:

  • Txn Post Date: the date the transaction was recorded in the bank's system, formatted as DD/MM/YYYY.
  • Value Date: the date the transaction affects your balance for interest calculation.
  • Description or Narration: payee name, UPI reference, NEFT/RTGS details, cheque number, or ATM location.
  • Chq/Ref Number: cheque number for cheque transactions, reference ID for electronic transfers.
  • Withdrawal (Dr) and Deposit (Cr): debit and credit amounts in rupees, with debit often labeled "Withdrawal Amt (INR)" and credit as "Deposit Amt (INR)".
  • Balance (INR): running account balance after each transaction.

The converter preserves numeric precision—₹12,450.75 stays 12450.75 in the Excel cell, not text. Date cells are formatted as dates so Excel recognizes them for sorting and filtering.

Working with your SBI statement data in Excel

Once you open the Excel file, the structured columns let you reconcile accounts, track spending categories, and prepare reports without manual retyping.

Reconciliation with pivot tables

Create a pivot table to sum debits and credits by month. Select your data range, go to Insert > PivotTable, drag Txn Post Date to Rows (grouped by month), Withdrawal to Values (sum), and Deposit to Values (sum). You see monthly cash flow at a glance, checking that the sum of all credits minus debits matches your closing balance minus opening balance.

Category analysis with SUMIF

Add a column next to Narration labeled "Category". Use Find & Replace to tag transactions: find "UPI" and replace with "UPI Payment" in the Category column, find "ATM" and tag "Cash Withdrawal". Then in a summary area, use =SUMIF(Category, "UPI Payment", Withdrawal) to total all UPI debits. Repeat for rent payments, salary credits, and other patterns in your narration text.

Filtering and sorting for audits

Click the filter arrows in the header row. Filter Withdrawal > ₹10,000 to review large debits, or filter Narration to show only NEFT transactions. Sort by Value Date to see the chronological order for interest calculations, or sort by Withdrawal descending to spot your highest expenses.

Importing into Tally or other accounting software

Many Excel-based accounting workflows in India involve copying columns from the converted file into a Tally import template or a custom ledger workbook. Match the Date column to your template's date field, Narration to particulars, and Withdrawal/Deposit to debit/credit columns. Excel's text-to-columns feature (Data > Text to Columns) can split narration strings if you need payee name separate from reference number.

Conditional formatting for quick checks

Highlight cells where Balance decreases unexpectedly or where Withdrawal and Deposit are both blank (which shouldn't happen). Select the Balance column, go to Home > Conditional Formatting > Color Scales, and apply a red-to-green gradient so low balances stand out. This visual check catches data anomalies or missing transactions.

Does it work with scanned or photographed SBI statements?

Yes. If you have a printed SBI statement from a branch and scan it as PDF, or photograph it and save as PDF using a mobile app, the converter's OCR engine reads the text from the image. The tool cross-checks extracted totals against the printed opening and closing balance on the statement to confirm accuracy.

Image-based PDFs take a few extra seconds to process compared to digital PDFs, but the output format is identical. Make sure the scan is clear—300 DPI or higher—and pages are straight, not skewed. Low-contrast or heavily creased printouts can cause misreads; the balance check will flag discrepancies if OCR misses a digit.

Comparison: manual retyping vs. PDF export vs. converter

MethodTime for 50 transactionsError riskWorks with scanned statements
Manual retyping60+ minutesHigh (typos, skipped rows)Yes, but tedious
OnlineSBI Excel export2 minutesLowNo (digital only)
BankStmtConverterUnder 1 minuteLow (balance-checked)Yes

OnlineSBI does offer an Excel download for recent statements (last 6 months typically), but older statements, passbook printouts, and loan account statements often come only as PDF. The converter fills that gap and handles any PDF regardless of age.

Example: three transactions in Excel output

Imagine your SBI statement shows these three transactions in December 2024. After conversion, the Excel file has:

Txn Post DateValue DateNarrationChq/Ref NoWithdrawal (INR)Deposit (INR)Balance (INR)
03/12/202403/12/2024UPI/CR/98765432/Salary9876543255000.0067340.50
05/12/202405/12/2024ATM WDL ANDHERI E 1234561234565000.0062340.50
08/12/202408/12/2024NEFT DR LANDLORD RENT DECN45678901218000.0044340.50

Each cell is editable. You can add a formula in column H to flag rent payments over ₹20,000, or copy the Withdrawal column into a budgeting template. The numeric cells support SUM, AVERAGE, and other functions immediately.

How accurate is the extraction for SBI statements?

The converter is trained on State Bank of India statement layouts, including the multi-column format with separate Dr/Cr columns and the running balance on the right. It cross-verifies that the sum of deposits minus withdrawals equals the closing balance minus opening balance printed on the statement. Any mismatch (OCR misread, corrupted PDF) is flagged so you can review the output against the source.

For digital PDFs from OnlineSBI, accuracy exceeds 99.5%. For scanned passbook printouts, accuracy depends on scan quality—a clean 300 DPI scan yields the same accuracy, while a 150 DPI photo from a phone may require you to correct one or two narration strings where text was faint.

Data privacy and file retention

Your uploaded SBI statement PDF and the generated Excel file are deleted from the server within one hour of processing. Files are not used to train models, not shared with third parties, and not retained for customer support unless you explicitly attach them to a support ticket. The converter processes your data in memory and writes the Excel file to temporary storage only long enough for you to download it.

You can verify deletion by noting that the download link expires after one hour. For extra assurance, convert statements on your own schedule and download immediately, then clear your browser's download history if working on a shared computer.

Other formats for SBI statements

If your workflow requires CSV for custom scripts, QuickBooks .qbo for direct import, OFX for apps like Quicken, or Xero's bank statement format, the same converter supports those outputs. Visit the State Bank of India CSV converter for plain-text data, the QuickBooks converter for .qbo files, or the Xero converter for Xero bank statement imports. All extract the same transaction data; the difference is file format and downstream tool compatibility.

For a full list of supported banks in India, see the India banks page. The converter handles HDFC, ICICI, Axis, PNB, Canara, and dozens of other Indian banks with the same workflow.

Common questions

Frequently Asked Questions

Does the converter work with scanned or photographed SBI statements?+

Yes. The converter uses OCR to read text from image-based PDFs, including scans and photos of printed statements. For best results, scan at 300 DPI or higher with the page straight and well-lit. The tool checks extracted totals against the printed opening and closing balance to confirm accuracy.

Are my SBI statement files stored or shared after conversion?+

No. Your uploaded PDF and the generated Excel file are deleted from the server within one hour of processing. Files are not used for training, not shared with anyone, and not retained unless you attach them to a support ticket. Download your Excel file promptly and the data is gone from our systems.

How accurate is the extraction for State Bank of India statements?+

For digital PDFs from OnlineSBI, accuracy exceeds 99.5 percent. The converter cross-checks that credits minus debits match the closing balance minus opening balance printed on the statement. Any discrepancy is flagged so you can review the output. Scanned statements depend on scan quality—clean scans yield the same accuracy as digital PDFs.

Can I use the Excel file for Tally import or GST reconciliation?+

Yes. The Excel output has Date, Narration, Debit, Credit, and Balance in separate columns, which you can copy into a Tally import template or a GST reconciliation workbook. Use Excel's Find & Replace to tag transaction types, then map columns to your accounting software's required fields. The numeric cells support SUM and other formulas for subtotals.

What if my SBI statement has multiple accounts or loan transactions?+

The converter processes each statement page as a continuous transaction list. If your PDF includes multiple accounts (savings and loan), transactions appear in the order printed, each with its own balance column. You can filter by narration keywords or balance jumps to separate accounts in Excel after conversion.

Why convert to Excel instead of using OnlineSBI's Excel export?+

OnlineSBI's Excel export typically covers only the last 6 months and is unavailable for older statements, passbook printouts, or loan accounts. The converter handles any SBI PDF regardless of age or source, including scanned paper statements, and delivers the same structured columns as the bank's export.
